Position: Executive Assistant to CEO
Location: Gurgaon, Haryana
Minimum Eligibility Requirements:
Educational Qualification: Bachelor’s degree
Experience:
— 3 to 4 Years of experience preferable. Knowledge of IT/ Web and Social Media would be an added advantage
— Experience of organizing and providing administrative assistance in an office environment
— Experience of handling a wide range of enquiries and an excellent telephone manner
— Experience of using Microsoft Office packages, particularly Word, Excel, PowerPoint and Outlook
Skills required:
— Gurgaon-based male candidate required.
— Need to interact with Senior Management & other team members of the organization, ability to handle & execute instructions independently.
— Ability to make decisions and act on behalf of the CEO within agreed parameters
— Ability to work on own initiative with minimal supervision
— Excellent typing skills with the ability to draft own correspondence
— Ability to communicate effectively, both orally and in writing
— Detail oriented and organized
— Excellent writing skills
— Self-motivated, articulate and able to manage multiple tasks
The Executive Assistant to the CEO will be the private secretary to and report directly to the CEO
Roles and Responsibilities:
— Manage the Director’s diary and appointments, ensuring effective use of time and preparation of briefs and information in advance.
— Handle meeting requests, schedule meetings, block calendar, work-out logistics, send reminder to participants and ensure meetings happen as planned; work with the team on preparing briefs related to meeting, in advance
— Follow-up for minutes of the meeting, present for Director’s review
— To filter incoming mail: sorting, redirecting and taking action as appropriate
— Assist in drafting letters, emails and communications etc for the Director, as required
— Schedule weekly and monthly Governance meetings with the team
— Follow-up for the minutes; Track action plans and brief the CEO on the same
— Follow-up with team members to ensure goals are achieved.
— Be in charge of CEO’s administrative duties, such as compiling staff timesheets, settling bill payments and finance forms
— Ensuring day to day tasks are performed.
— Maintaining a log of every team member’s daily activities and provide a compiled brief to the CEO
— Provide general department organization and administrative assistance.
— Organize leadership activities as instructed by the CEO
— Carry out any other duties assigned by the CEO.
Remuneration: Rs 3.5 to 4 lacs per annum depending upon experience
